Task Management With Dashboard Display

In construction projects, a wide variety of tasks arise from meetings, plan reviews, defects, invoices, queries and coordination. Without a centralised task dashboard, these tasks quickly end up scattered across emails, meeting minutes, Excel spreadsheets, chat histories and other channels.

Poolar.Project deliberately does not take the approach of being a freely configurable task builder. Instead, dedicated task tools for the most important use cases in planning and construction practice are available in the project workspace, each integrated into the appropriate function.

The dashboard consolidates the resulting tasks into an easy-to-use overview – centrally located on the project workspace’s home page.

So That Project Members Can See What Needs to Be Done

One of the challenges in construction projects is that information is not received in good time, is unclear, or does not reach the right person. Another challenge is keeping track of the tasks assigned and their completion.

The dashboard addresses these challenges by clearly consolidating tasks relating to plan reviews, meeting minutes, defects, invoice approvals, BCF issues and decisions in one place.

Each task is clearly assigned, including a deadline and a display of its status. This reduces the need for follow-up enquiries, prevents misunderstandings and ensures that tasks do not go unnoticed.

Urgent and overdue tasks are identified at an early stage. Project managers can prioritise tasks, make adjustments and identify delays in good time, before they affect the progress of the project.

Tasks are linked to the relevant plans, documents, approval steps or meeting items. Those involved can jump straight to the relevant process and work on tasks without having to spend time searching within the respective function.

Tasks are documented. This ensures transparency over the course of the project and provides a solid basis for coordination, documentation and any subsequent clarifications.

Brief Answers to Key Questions About Task Management Using a Dashboard

In construction projects, tasks often arise from meetings, plan reviews, defects, approvals or decisions. Without a central overview, these tasks quickly end up scattered across emails, lists and individual coordination processes. Centralised task management ensures that tasks can be found and are processed in a traceable and binding manner.

Information from various processes is brought together in a shared data environment for construction projects. The dashboard turns this into a clear overview of the work: tasks, deadlines, responsibilities and processing statuses are displayed centrally and linked to the relevant project information.

A digital project workspace does more than just store documents. It is designed to improve collaboration within the project. Task management ensures that information is turned into concrete next steps – with clear responsibilities, deadlines and traceability.

During plan review, the dashboard shows which reviews are pending, who is responsible for them and what the deadlines are. Reviewers involved in the process can identify more quickly where feedback is missing or where review steps are overdue. This helps to manage plan approvals in a more structured and traceable manner.

The dashboard provides a shared view of outstanding tasks and responsibilities. This enables clients, construction project managers, designers and contractors to work from the same basis – whilst each role is shown only the tasks relevant to them. This reduces the need for coordination, queries and misunderstandings.
